About the Job

Role Purpose

The Junior Supply Chain Officer supports the day-to-day delivery of procurement, logistics, inventory, and supply chain activities, ensuring that goods and services are sourced, transported, stored, and accounted for in a timely, cost-effective, and compliant manner. Working closely with the Supply Chain Manager and Senior Supply Chain Officer, the role holder helps translate organizational supply chain policies and procedures into consistent daily practice, supporting programs and operations across the country office and field locations.

Key Responsibilities

Procurement & Supplier Support

  • Assist in identifying, sourcing, and evaluating suppliers against quality, cost, and delivery-timeline criteria, and contribute to comparative bid and proforma analyses.
  • Prepare purchase Quotes, Purchase orders accurately and in line with approved requisitions, and follow up with vendors to confirm acceptance, pricing, and delivery schedules.
  • Maintain complete and well-organized procurement records, including contracts, invoices, receipts, purchase orders, and supporting documentation, ready for internal review or audit.
  • Support day-to-day supplier communication and proactively follow up on outstanding procurement actions to prevent delays.
  • Ensure all procurement activities are carried out in strict compliance with approved organizational policies, procedures, and donor requirements where applicable.

Logistics & Transportation

  • Assist in planning and coordinating the transportation of goods between suppliers, warehouses, and program/field locations.
  • Track shipments in transit, monitor delivery timelines, and follow up promptly on any logistical challenges or delays.
  • Coordinate with suppliers, transporters, and internal teams to ensure deliveries are received on schedule and in good condition.
  • Support customs clearance processes for the import and export of goods where required, liaising with relevant authorities and clearing agents.
  • Maintain accurate and up-to-date logistics and shipment records, including waybills, delivery notes, and tracking logs.

Inventory & Stock Management

  • Support the conduct of regular physical inventory and stock checks across warehouses and program sites.
  • Maintain accurate inventory records and documentation, including stock cards, bin cards, and inventory management system entries.
  • Monitor stock levels on an ongoing basis and promptly report shortages, excesses, or discrepancies to the Supply Chain Manager.
  • Support timely replenishment and availability of materials and supplies needed for program and operational activities.
  • Assist with periodic stock reconciliation and the preparation of related reports.

Reporting & Process Improvement

  • Support the preparation of periodic supply chain and procurement reports, including biweekly, monthly, and ad hoc updates for management.
  • Assist in analyzing supply chain performance data and help identify opportunities to improve efficiency, cost-effectiveness, and service delivery.
  • Maintain accurate and organized supply chain records and databases for easy retrieval and reference.
  • Provide accurate information and documentation required for management reporting, donor reporting, and internal or external audits.

Compliance & Internal Controls

  • Ensure that all supply chain activities comply with organizational policies, procedures, and applicable local regulations.
  • Maintain complete, accurate, and audit-ready procurement and logistics documentation at all times.
  • Identify and promptly report supply chain issues, risks, or non-compliance to the Supply Chain Manager.
  • Support the implementation of corrective actions and continuous process improvements arising from audits, reviews, or day-to-day operations.

Internal & External Coordination

  • Collaborate closely with Finance, Operations, Programs, and other internal teams to align procurement and logistics activities with organizational needs.
  • Build and maintain effective, professional relationships with suppliers and service providers.
  • Follow up consistently with internal requesters and external vendors to ensure the timely completion of procurement and logistics activities.
  • Provide general supply chain support as assigned by the Supply Chain Manager or Senior Supply Chain Officer, including coverage during peak periods or staff absence.

Key Working Relationships

  • Internal: Supply Chain Manager, Senior Supply Chain Officer, Finance team, Operations team, Program teams, and requesting departments across the country and field offices.
  • External: Suppliers, vendors, transporters and freight forwarders, customs authorities and clearing agents, and other service providers.

About You

Qualifications & Experience

  • Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
  • Minimum of 1–3 years of relevant professional experience in supply chain, procurement, or logistics, preferably within an NGO, development, or similar operational setting.
  • Valid driving license is mandatory.
  • Sound knowledge of supply chain management principles, procurement processes, and logistics practices.
  • Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
  • Familiarity with inventory management software and ERP systems is an advantage.
  • Strong communication, interpersonal, problem-solving, and organizational skills.
  • Willingness and ability to travel to field locations when required.
