Major duties and Responsibilities
• Assists the Supervisor in the development of strategies, policies and procedures to effectively and efficiently manage facilities required for the support and smooth running of operations.
• Plans, organizes, directs, coordinates and control the activities of the section and ensures their effective implementation.
• Ensures proper arrangements and systems are in place for the smooth running of transport and vehicle management services and their effective implementation
• Monitors the proper registration, periodic inspection, maintenance, and efficient allocations of the company’s vehicles.
• Makes sure that vehicles are getting periodic services, in-house and external repair and maintenances based on the pre-arranged schedule and up on requests submitted from different units.
• Makes sure that all the insurance requirements are fulfilled and all the required insurance coverages (third party, comprehensive motor insurance, etc.) are in place to secure vehicles of the company.
• Manages vehicles of the company and ensures they are periodically inspected; maintained and repaired to use their service for long period.
• Makes sure that vehicles are properly and efficiently allocated for user units for their regular, overtime works and field trips based on the prearranged system and monitors their deployment through logbooks and online vehicle tracking systems.
• Ensures store items are properly handled and registered per the company’s property management policy; ensures their timely and proper distribution, tagging and registration.
• Makes sure that periodic physical inventory/verifications are done by various units of the company; reconciliations done; gaps identified and rectifications are also done to fixed assets.
• Ensures assets of the company are getting preventive as well as corrective maintenances and are in safe condition for the intended purpose.
• Ensures all electric, telephone, fax, and internet communications and other utilities are in place to support the smooth running of operations of the company; follows-up their efficient and effective utilization and follows-up settlement of their periodic.
• Makes sure that all the required documents are fulfilled for contracts done with building owners and manages them periodically.
• Conducts periodic employee performance appraisals and provides reasonable feedback to ensure further improvements in future performance.
• Ensures that strategies, policies, procedures, plans, annual targets, etc. are clearly and timely disseminated to employees under his/her supervision.
• Performs other related duties as may be assigned by the supervisor.
About You
Required Knowledge and skills (Competence)
Education
- Ability to train and raise awareness among site personnel.
- BA or MA degree in Supplies or Purchasing Management or Supply Chain Management
- Ability to deliver quality work within deadlines
- Proficient in ERP systems and advanced Excel.
Experience
• 5 years for BA degree and 4 years for MA Degree of relevant work experience out of which at least 2 years in supervisory position.
