About the Job

Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified and motivated Grant Management Officer for our operations in our Addis Ababa Country Office.

Overall purpose of the role 

The grants management officer plays a vital role in making sure all DRC Ethiopia’s grants run smoothly and successfully by providing continuous support on new proposal development, contract amendments, reporting and donor compliance, documentation and communication.

Your main duties and responsibilities will be:

Program development

  • Identify potential funding opportunities that align with the country strategy plan and conduct donor mapping to evaluate funding landscapes.
  • Support the development and writing of new proposals by conducting a desk review of the donor’s strategic direction, analyzing relevant reports, and documenting lessons learned from similar projects.
  • Collaborate closely with program teams to gather necessary information for project modifications and document changes effectively.

Grants Management:

  • Ensure compliance with donor implementation and reporting guidelines for all DRC projects.
  • Ensure timely and quality reports that meet donor and internal requirements with support from program and finance staff.
  • Identify and implement improvements to the reporting process to enhance efficiency and accuracy.
  • Work closely with the program staff, to ensure that all visibility and communications activities are compliant with donor requirements. 

Documentation

  • Keep DRC’s grant management system (Dynamics) and internal DRC documentation up to date with relevant project information and ensure all essential project documents and reports are uploaded properly and timely.
  • Ensure availability of hardcopy documentation for all projects.

External relations

  • Draft Memorandum/ Letter of Understanding (MOU/ LoU) documents for all donor-funded projects
  • Communicate with UNHCR, RRS and other key stakeholders regarding new projects and ensure timely signature of MOUs/ LoUs
  • Coordinate the provision of notes/briefings to external bodies requesting information on DRC project activities.

Collaboration

  • Work closely with program, finance and field teams to gather timely input for proposal development, reporting and other grants management tasks.
  • Work with Program Development and Grant Manager in organizing project kick-off, and close-out meetings and ensure complete documentation. 
  • Contribute to regular project implementation monitoring and budget follow-up/ review meetings and ensure adequate follow-up on agreed action points.

Partnership

  • Assist in coordinating with partners across the project cycle, including onboarding and regular follow-up.
  • Assist in partner due diligence, agreement development (MoUs/LoUs/sub-grants), and compliance monitoring in line with donor and organizational requirements. 
  • Facilitate regular communication, reporting, and ensuring timely delivery of inputs and alignment with project objectives.
  • Ensure proper documentation and filing of all partnership-related records, including agreements, reports, and correspondence.

Others

  • Other relevant duties as directed by the line manager.

About You

Experience and technical competencies:

  • At least two years of INGO experience, of which direct experience in grants management
  • Strong analytical, and writing skills.
  • Demonstrated ability with project grants management, including project design, budget preparation, expenditure tracking, monitoring and evaluation, and reporting.
  • Demonstrated experiences in fundraising.
  • Proven commitment to accountable practices and knowledgeable of quality assurance systems
  • Good communicator and proven diplomacy with all types of stakeholders
  • Experience of managing budgets and multiple donor contracts, particularly with ECHO, DANIDA, SIDA, GFFO…
  • Fluent and articulate in spoken and written English.
  • Ability to work independently, but also coordinate effectively as part of a team.
  • Strong computer skills (MS Word, Excel, Outlook and Power Point).
  • Ability and willingness to work and live in diverse, challenging and potentially unstable environments.

EDUCATION: (include certificates, licenses, etc.)

  • Bachelor degree in a relevant field 

LANGUAGE: (indicate Fluency level)

  • English (proficient in both writing and speaking)
  • Knowledge of other local languages an asset
